Summary:
Under the direction of the Director of Health Services/Campus Nurse, the Administrative Assistant provides clerical support to the department in accordance with company policies and procedures. As a member of the Health & Counseling Center ("HCC") staff, the Administrative Assistant is responsible for assisting the Campus Nurse, Psychologist, and Counselor in administrative matters relating to the overall operations the office. This position requires frequent interaction with the Carthage College student community and strict confidentiality in all matters pertaining to students' health-related issues.
Essential Functions:
- Greet and assist students, faculty, staff, visitors and guests.
- Maintain physical and digital patient records, including yearly audits and scanning of files.
- Prepare and conduct an initial review of immunization records for incoming students.
- Assist with the check-in process for new and returning students, including the collection and maintenance of student medical and immunization records as required by the State of Wisconsin.
- Schedule client appointments for counseling staff.
- Order supplies and maintain inventory of office and medical equipment.
- Process invoices by obtaining appropriate approvals and routing to Accounts Payable for timely payment.
- Assist students with completion of claim forms for supplemental accident & sickness benefits and athletic excess policy, as well as coordinate and process the medical benefits claims according to prescribed standards.
- Coordinate official out-of-class notices due to acute illness.
- Develop and maintain a supportive working relationship with HCC staff members.
- Assist with care coordination via telephone calls and follow up as needed.
- Support outreach events for HCC staff as needed.
- Assist with other administrative duties as assigned by the campus nurse or counselors such as making copies, faxing and filing.
- Completes special projects as assigned.
Minimum Education:
Associate's degree in a job-related major is required.
Minimum Experience:
- Five (5) years' experience in a clerical support or related area is required.
- Experience in an outpatient medical center or clinic is preferred.
Required Skills, Abilities, and/or Licensure:
- Attention to detail is required
- Strong written and verbal communication skills are required
- Experience with Microsoft Word, Excel and PowerPoint are required
- Strong organizational and time management skills
- Ability to work independently and under minimal supervision
- Ability to communicate with all levels of management
