We are seeking a dynamic, detail-oriented temp to hire Administrative Assistant/Jr. Bookkeeper to join our team. This is an exciting opportunity for an individual with a strong administrative and accounting background, excellent problem-solving skills, and a passion to serve the community they live in The successful candidate will provide high-level administrative support to the President, manage and coordinate meetings, and handle bookkeeping tasks. Proficiency in Microsoft Office Suite and document preparation is a must.
Responsibilities:
1. Provide top-notch administrative support to our leadership ensuring efficient day-to-day operations.
2. Coordinate and schedule meetings, appointments, and fundraising events for the foundation.
3. Prepare and edit correspondence, reports, and presentations using Microsoft Office Suite.
4. Maintain an effective filing system for both digital and physical documents.
5. Assist in the preparation of regularly scheduled reports.
6. Handle sensitive information in a confidential manner.
7. Perform bookkeeping tasks such as accounts payable, payroll timesheets, and bank reconciliations.
9. Point of contact to help with event space, contracts, setup and tear down.
10. Answering phones and being front facing for the public
Qualifications:
1. Proven experience as an executive assistant/bookkeeper, ideally with a non-profit.
2. Full comprehension of office management systems and procedures.
3. Excellent knowledge of MS Office Suite.
4. High degree of confidentiality.
5. Exemplary planning and time management skills.
6. Ability to multitask and prioritize daily workload.
7. High level verbal and written communications skills.
8.. Knowledge of basic bookkeeping and accounting payable/receivable principles and basic payroll timesheets.
9. Great references from previous supervisors.
10. Proven ability to calculate, post, and manage accounting figures and financial records.
11. Data entry skills along with a knack for numbers.
12. Hands-on experience with spreadsheets.
13. High degree of accuracy and attention to detail.
14. A minimum of 5 years of experience in administrative support and accounting is desired.
