5-7 years of Administrative Experience
Must be proficient in MS Office programs (Word, Excel, PowerPoint, Outlook)
*****This position can work Full-time hours OR Part-time hours. If part-time hours it would be 25-32 hours per week (3-4 days a week/8 hours per day. Days can be flexibe if part-time.)
To assist and support Morris Plains Site Head by providing Professional and effective executive administrative support. This includes maintaining and supporting communications and reporting between the Site Head, Management Committee and Site Associates.
Provide and maintain discretion of confidentiality and sensitive material
Administrative assistant activities to site head: calendar management, expense reports, typing, presentation arrangement. Must be proficient in MS Office programs (Word, Excel, PowerPoint, Outlook)
Site Leadership Meeting (SLT): Proactively gather topics, set agenda, and distribute pre-read. Reserve and prepare room prior to meeting. Display slides, record action items, and send post meeting report.
Proactively set-up and manage site communications series of meetings: News Chat, Education Series, Employee Recognition, etc. Reserve rooms, manage in MS teams. Ensure smooth meeting flow.
Central Point of contact for site based activities by external parties: Leadership visits, Audits, tours, etc. Manage a comprehensive site calendar
Create a maintain general site Purchase Orders (SAP/Ariba access required)
General and typical administrative activities: Ordering office supplies, updating organizational charts, distribution lists, etc.
Ability to work with multiple deadlines and projects
Must be customer focused with leadership skills
Providing occasional administrative support to HR, and Site Leadership Team as required.
