The Administrative Assistant (front desk) provides a range of administrative, coordination, and communication responsibilities to effectively support the operations of New Freedom. The front desk Administrative Assistant helps to support and ensure the highest quality of member care, by effectively and consistently coordinating among members, staff, and leadership
Duties and Responsibilities:- Displays a welcoming atmosphere for members and visitors of New Freedom
- Assists members with off-site check-in/out, entering information into databases or other systems, as needed
- Establishes and maintains good intra/inter-departmental communication and collaboration
- Completes administrative tasks, including but not limited to, the generation of daily off-site reports; generation of weekly scheduling efficiency reports for management teams; member records maintenance; creation of spreadsheets that provide performance data and metrics for staff; word processing, making photocopies, and data entry; and organizing documents within the appropriate systems/databases, as needed and as assigned
- Forwards off-site reports to the correct cohort facilitators and department heads
- Follows all HIPAA and confidentiality requirements
- Monitors and responds to the main New Freedom telephone lines/calls, as assigned
- Monitors and appropriately responds to the info@newfreedomaz.com email address and inquiries through New Freedom's website, appropriately routing to the appropriate departments and/or individuals, as assigned
- Monitors and appropriately responds to Google business account messages and reviews, reporting inappropriate reviews and photos as required, as assigned
- Monitors Facebook and other social media accounts for inappropriate comments and/or content, escalating and reporting concerns as required, as assigned
- Screens and follows up on potential leads from the community, as assigned
- Directs inquiries and assists with members' concerns in an efficient and effective manner
- Manages the company's scheduling and calendars for meeting room reservations, events, and groups/classes in a timely and effective manner, as assigned
- Attends and assists with documenting meetings, including but not limited to, L10s and other department meetings, as assigned
- Consistently represents and demonstrates the company's mission, vision, and core values
- Provides general administrative support to Executive staff and other leaders, as needed
- Reports, resolves, and assists with training development for identified areas of concern that impact authorizations in a timely, thorough, and proactive manner, as assigned
- Generates EMR reports and assists with the creations of organizational approaches requiring the creation of Excel and Access spreadsheets and queries, as assigned
- Assists staff and leaders with troubleshooting SharePoint issues and assists with maintenance and enhancement, as needed
- In addition, all other duties as assigned
