Administrative Assistant - Knowledge Services

Overview

Knowledge Services is seeking an Administrative Assistant for a contract to hire role with the City of Indianapolis.

• Pay rate is $10.50/hr
• Work schedule in Mon - Fri from 8-5pm and working onsite in Downtown Indianapolis
• Applicants must be willing and able to convert to a full-time City employee
• Must be able to interview in person

Responsibilities

Administrative Assistant Responsibilities:

• Responsible for providing excellent customer service while working and maintaining the Human Resources front desk.

• Greets all visitors to Human Resources, explains employment application process to applicants both in person and via phone.

• Assists applicants with answering any questions they may have about the process or status of their applications.

• Supports the Human Resource Staff including the Human Resources Director, Human Resources Deputy Directors, and Human Resources staff.

• Responsible for opening and closing the office for hours of operation and greets and assists all visitors to Human Resources.• Answers the Human Resources Division multi-line phone and transfers internal and external calls to the appropriate person.• Answers applicants’ questions about the application process and researches the status of their applications using Neo-Gov software.• Performs tasks and special projects for the Human Resources Director, Human Resources Deputy Directors, and Human Resources staff as assigned.• Utilization of PeopleSoft to perform support functions assistance, as needed, such as verbal employment verification for current and former employees.

• Maintains positive and professional communication with the City/County Enterprise, Human Resources staff, and the residents of the City of Indianapolis Marion County via telephone, in person, and email.• Receives Human Resources Division mail, sorts, and distributes to appropriate Human Resources staff.• Maintain confidentiality of all information.• This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities that management may deem necessary from time to time.

Qualifications

Administrative Assistant Required Skills:

• Must have a high school diploma.

• 1-3 years of relevant work experience is preferred.

• Must have proficient user knowledge and experience with Microsoft Outlook, Word, PowerPoint and Excel.

• Must type 35 words per minute.

• Must be able to effectively communicate verbally and in writing. 

• Must have good reading comprehension. • Excellent customer service skills• Must be able to greet and assists all visitors to Human Resources• Must be able to answer a multi-line phone and transfer internal and external calls to the appropriate person
