Primary Purpose: Provide administrative and staff support services to the assigned individual and functional area. Supports a wide variety of complex assignments of a critical and confidential nature. The incumbent in this position is also responsible for ensuring that his or her supervisor is aware of all circumstances in which he or she uses sensitive customer, associate and company information, and where and how such information is stored and protected.
Duties and Responsibilities:
• General office management
• Manages department/function by distributing and ordering supplies
• Prepares invoices and reports to assist the assigned individual and functional area
• Maintain org charts in Visio & request weekly updates from managers
• Manage travel (includes online research, booking, tracking, preparing the traveler, etc.)
• Manage meeting and conference rooms
• Prepare, coordinate, and distribute meeting agendas as well as capture and distribute meeting minutes for various team / project meetings as needed.
• Meeting and event planning (includes negotiation hotel contracts, scheduling catering, preparing for Web and video conferencing, etc.)
• Serve as coordination point to collect, organize, and present information for the functional area.
• Function/Department Program Coordination & Support
• Assist with the scheduling and planning of training for departments
• Supporting special projects and programs as-needed (project management)
• Participating in trainings, career development, and webinars related to position and assigned function
• Supports with the on-boarding of new associates hired
• Supports multiple large functional areas
• Manages executive calendar & travel
• Provides leadership, advice and ensuring the consistency of, and compliance with, established standards and practices of the functional area

Qualifications:
• HS diploma required
• 1 year+ directly relevant experience
• Project management knowledge
• Technologically savvy (Google, Advanced MS Office, Teams, Visio, etc.)
• Excellent & effective communication
• Strong critical thinking and problem solving
• Highly organized
• Detail oriented
• Tact and discretionary initiative
• Highly flexible with strong multitasking and prioritization ability
• Able and willing to learn new software tools and applications
• Empathetic
• Collaborative and works well with others
• <25% domestic travel; little to no international travel
Preferred Qualifications:
• Associate’s or bachelor’s degree preferred
