Administrative Assistant II, Elmhurst Foundation
The Administrative Assistant II will provide advanced administrative support to the Foundation Team and Foundation executive and play a critical role in ensuring the efficient operation of our administrative functions. This position requires a high level of professionalism, discretion, and the ability to handle complex tasks in a fast-paced healthcare environment.
Position Highlights:
Position: Administrative Assistant II
Location: Elmhurst, IL
Full Time/Part Time: Full Time
Hours: Monday-Friday, 8:00am-4:30pm. Occasional evenings and weekends required in support of Foundation Events and Board meetings.
Required Travel: local travel may be required
What you will do:
Acts as liaison with the Foundation Board of Trustees and Ambassadors (scheduling meetings, preparing materials, and drafting meeting minutes)
Coordinates Scholarship programs for the Foundation
Helps to maintain donor database that manages gifts and donations made to the Foundation, including light gift entry, updating donor records, etc.
Provide event support prior to, during and after the event, including coordinating with various departments on room set-up, and AV needs.
Serve as the primary point of contact for the hospital administration, both internally and externally
Coordinate and manage the schedules and appointments of Foundation executives and department heads.
Manage phone calls, screen inquiries, and route them to the appropriate personnel.
Schedule and organize meetings, conferences, and video calls, ensuring logistics are seamless.
Assist in the preparation of meeting materials and distribute them in advance.
Draft, edit, and proofread emails, memos, reports, and other documents for Foundation leadership.
Maintain and update policies, procedures, and administrative documents.
Collaborate with the Foundation administration on various projects, conducting research, data analysis, and presenting findings.
Assist in managing departmental budgets, including tracking expenses and preparing financial reports.
Oversee office supply inventory, ensuring adequate stock and managing ordering and restocking.
Assist in the onboarding of new administrative staff, providing guidance and training.
What you will need:
Education: Associates degree, required. Bachelors Degree, preferred.
Certification: n/a
Experience: 3+ years of previous experience in an administrative support role. Previous administrative experience in a non-profit/charitable organization is a plus.
Unique or Preferred Skills:
Thorough knowledge of Microsoft Office software including Outlook, Word, Excel, and PowerPoint.
Excellent verbal and written communication skills
Ability to learn new concepts and technology quickly.
Strong judgementand discretion to work with confidential information.
Team Player & Ability to function well in a high paced environment.
