Administrative Assistant II - Cenergy International

Roles and Responsibilities:



Provides administrative support to a department or individual. Duties may include word processing, filing, faxing, answering phones, receiving and directing visitors, scheduling, financial record keeping, coordinating meetings and conferences, obtaining supplies and sorting/distributing mail. May work on special projects. Strong communication skills and organizational skills are essential. Familiarity with MS Office required.

Additional job responsibilities will include, but are not limited to, the following:

1. Support the activities of multi-functional team




2. Handle confidential information with discretion




3. On occasion, document and distribute/post meeting minutes




4. Maintain systems to report, track, and document various business unit initiatives/processes




5. Assisting in preparation of spreadsheets for various business unit activities and reports - Maintain a filing system




6. Assist in preparing reports, bulletins, and alerts - Assist in document control both electronically and hard copy - Support the activities of a fast-paced multi-functional business team




7. Provide clerical support for a business unit - Perform word processing of letters, memos, reports, agreements, exhibits and general business correspondence




8. Maintain business unit database systems; Responsible for business unit records management and archival in FileNet system




9. Schedule appointments, make travel arrangements, and schedule meetings




10. Coordinate and manage logistics for business unit celebrations, technical conferences and meeting - Handle confidential information with discretion




11. Answer phone calls and direct calls to appropriate parties or take messages




12. Perform general office duties such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work




13. Store, retrieve, and integrate information for dissemination to staff and clients




14. Prepare time reports, expense reports, and organization charts as needed for the department

Qualifications and Education Requirements:

1. Able to work multiple tasks simultaneously and manage one s own time




2. Solid skills in Microsoft Word, Excel, PowerPoint, Microsoft Teams and Outlook with some knowledge in MS Access




3. Good communication, interpersonal skills, and customer focus




4. Highly effective team player with a positive attitude - Exceptional organizational skills with the ability to prioritize, multi-task, and meet deadlines




5. Willingness and ability to learn and take on more complex tasks




6. Takes responsibility for completing tasks with minimal supervision




7. Good time management and problem solving skills




8. Ability to manage files for linking to web pages and other documents - Ability to assist the business unit with a variety of constantly changing tasks




9. Demonstrates initiative and the ability to see tasks through to completion




10. Team player/highly adaptable to work environment




11. Work well under pressure




12. Strong interpersonal skills




13. Occasional overtime required

Education:

1. High School diploma or GED

Experience:

1. Minimum of 3 years experience as administrative assistant

Must have a valid driver s license and current state required minimum vehicle insurance coverage to drive onto Client and Company property.

Preferred Skills:

Additional Desired Qualification:

1. Comprehensive understanding of business unit s related terms, is preferred




2. Bilingual is a plus

Pay Range:

The pay range for this position is $24.00- $25.00 per hour; however, the pay offered may vary depending on job-related knowledge, skills, and experience. This pay information is being provided pursuant to applicable law and is based in part on market location.
