The Administrative Assistant will provide comprehensive support to senior leaders within the Commercial Operations organization. Responsibilities include managing schedules, coordinating meetings, arranging travel, processing financial tasks, and maintaining confidentiality in handling sensitive information. This role requires exceptional organization, multitasking, and communication skills, along with the ability to manage general administrative functions and assist with onboarding, document creation, and event planning.

The Administrative Assistant will provide comprehensive support to senior leaders within the Commercial Operations organization. Responsibilities include managing schedules, coordinating meetings, arranging travel, processing financial tasks, and maintaining confidentiality in handling sensitive information. This role requires exceptional organization, multitasking, and communication skills, along with the ability to manage general administrative functions and assist with onboarding, document creation, and event planning.
Key Responsibilities:
- Manage calendars, coordinate team meetings, webinars, and travel arrangements.
- Process timely and accurate travel and expense reports and manage P-card expenses.
- Provide onboarding support for new hires, including equipment requests and schedule coordination.
- Maintain confidentiality and organize departmental files, records, and archives.
- Handle general administrative tasks such as copying, mailing, and filing.
- Coordinate and maintain office space, telephones, and security badge records.
- Create and modify documents including reports, memos, and agendas.
- Process financial approvals for invoices, purchase orders, and agreements.
- Assist with planning and executing internal events such as town halls and team-building activities.
- Collaborate with the department’s Executive Assistant to support the overall team.
Required Skills, Experiences, Education, and Competencies:
- Detail-oriented, organized, and adept at multitasking in a fast-paced environment.
- Flexible, thrives on change, and able to manage shifting priorities effectively.
- Strong work ethic, self-motivation, and ability to work independently or as part of a team.
- Excellent verbal and written communication skills for professional interactions.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Advanced problem-solving, organizational abilities, and follow-through skills.
- Experience managing calendars and supporting multiple senior leaders.
- College degree preferred or equivalent experience.
- 2+ years of administrative work experience, preferably in a global organization.
