About the Job
We are seeking a highly organized and detail-oriented Administrative Assistant to support our client in a fast-paced office environment. The ideal candidate will have experience in routine administrative functions, the ability to prioritize multiple tasks, and a proactive approach to ensuring the smooth operation of the office.
Key Responsibilities:
- Administrative Support: Perform routine administrative functions, including prioritizing multiple assignments, scheduling meetings and conference calls, managing electronic schedules/calendars, and maintaining various tracking systems.
- Telephone and Correspondence Management: Answer incoming telephone calls, type correspondence, and independently respond to routine inquiries. Screen incoming correspondence and documentation for completeness, ensuring timely follow-up.
- Documentation and Reporting: Review, research, and verify the accuracy of incoming information. Prepare reports as needed and refer documents to the appropriate staff for processing. Ensure that all necessary follow-ups are completed to meet deadlines.
- System Management: Complete work assignments using the Child Nutrition Program electronic management system and perform other administrative functions as assigned.
Desired Experience:
- Administrative Functions: Experience in handling a range of administrative tasks such as scheduling, correspondence management, and managing calendars. Ability to prioritize and manage multiple assignments in a busy office environment.
- Documentation Review and Research: Experience screening incoming documents for completeness, conducting research, and preparing reports to verify the accuracy of information.
- System Administration: Proficiency in completing work assignments using electronic management systems, including tracking and processing data.
Preferred Qualifications:
- Experience in a Fast-Paced Environment: Previous experience working in a fast-paced office setting, performing a variety of administrative tasks to support program operations.
- Knowledge of Online Payment Processing Systems: Experience with online payment processing systems and management tools, such as the CACFP Information and Payment System (CIPS) and Docstar eFile Management Software.
- Microsoft Office Proficiency: Strong working knowledge of Microsoft Office Software, including Outlook, Excel, SharePoint, Word, and Access.
- Experience with Child Nutrition Programs: Experience working within or knowledge of the Child and Adult Care Food Program (CACFP) is highly preferred.
Qualifications:
- Strong organizational and multitasking abilities.
- Attention to detail and ability to meet deadlines.
- Proficiency in Microsoft Office applications.
- Experience with or knowledge of child nutrition programs is a plus.
