JOB DESCRIPTION:
Primary Purpose: Under moderate supervision organize and manage the routine work activities of the Human Resources Department office and provide clerical support to the Human Resources Directors and other staff members.
RESPONSIBILITIES:
Major Responsibilities and Duties
- Provide administrative support including answering the telephone, processing mail, filing, and word processing.
- Prepare correspondence, spreadsheets, forms, manuals, schedules, and reports for the Human Resources Directors and other department staff members.
- Assist with maintenance of information in employee database.
- Maintain a schedule of appointments and assist with scheduling interviews and meetings.
- Make meeting arrangements for Human Resources Directors including preparing materials, scheduling and setting up facilities, and arranging equipment.
- Make travel arrangements for Human Resources Directors as needed.
- Maintain confidentiality of information.
- Assist with planning and tracking budgets.
- Attendance at work is an essential function.
- Other duties as assigned by the supervisor or designee.
EXPERIENCE: QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or GED
- 30 credited college hours OR five years of experience as an administrative assistant or similar office experience
Special Knowledge/Skills:
- Proficient skills in data entry, word processing, and file maintenance
- Ability to use software to develop spreadsheets, do word processing, and create presentations
- Ability to prioritize workflow to address the multiple needs of the supervisor or the department
- Ability to multi-task numerous complex administrative activities
- Basic math skills
- Effective organizational, communication, and interpersonal skills
OTHER INFORMATION:
Equipment Used: Uses computer, multi-line phone, printer, scanner, copier, calculator, and other common office equipment.
Working Conditions
Mental/Physical Demands/Environmental Factors:
Occasional light lifting and carrying (under 15 pounds), pushing, reaching above shoulders, use of fingers, walking, standing, repeated bending, specific visual requirements (using computer), specific hearing requirements (phone conversations); work with frequent interruptions; maintain emotional control under stress; occasional prolonged or irregular work hours.
