A well-established commercial real estate company is seeking an Administrative Assistant to support daily property management operations. The ideal candidate is organized, proactive, and detail-oriented, with strong multitasking and communication skills. Communicating effectively, the new team member will enhance operational efficiency by managing lease administration, coordinating with vendors, and handling tenant inquiries while maintaining accurate financial reports and ensuring smooth day-to-day operations.

Responsibilities:
- Assist with all lease administration duties such as memos and letters.
- Supervise vendors.
- Complete inspection reports.
- Adhere to set deadlines.
- Assists in preparing the annual budget for the property.
- Assist in the data entry and completion of the Annual CAM Reconciliation.
- Assist Property Manager in preparation of monthly reports.
- Deposit register and check register to ensure all rents are posted and all recurring services are posted.
- Work with the Senior Property Manager to coordinate tenant improvement documents are collected prior to processing payouts.
- Assist in investigating tenant.
- Respond to all tenants inquiries.
- Ensure services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.
- Represent and communicate clearly and accurately, in person, over the phone, and in writing the authority of the Sr. Property Manager.
- Follow up with the Sr. Property Manager on all inquiries, questions or concerns of tenants, and vendors daily.
- Assist the Property Manager to initiate, contract, and administer all necessary services to maintain and enhance the value, operating efficiency, and physical appearance of the property.
- Prepare and coordinate all Service Agreement and Construction Agreement documents.
- Handle vendor related inquiries or concerns.
- Maintain ongoing tenant contact/relations.
- Maintain current certificates of insurance for all tenants; ensure coverage complies with lease requirements weekly.
- Perform miscellaneous duties or projects as assigned by the property manager.
Requirements:
- Proven work experience as an Assistant Property Manager or similar role
- Excellent communication skills, both verbal and written
- Strong organizational and time management skills
- Excellent interpersonal and conflict resolution skills
