Overview:
The Administrative Assistant plays a pivotal role in providing comprehensive administrative support to the Department of Urology for Westchester Medical Center (WMC) and New York Medical College (NYMC). This key position involves supporting executive and leadership functions, acting as a liaison for departmental coordination, assisting in various administrative tasks and projects, and coordinating the organization of weekly Grand Rounds. The role encompasses multifaceted responsibilities vital for the smooth operation of the department and its collaborative efforts between WMC and NYMC.
Responsibilities:
Executive Support:
Provide comprehensive administrative support to the Department Administrator in support of the Department Director, and Section Chiefs.
Manage calendars, prepare letters of recommendation, meeting minutes, and assist with physician and faculty appointments and reappointments.
Assist in documentation for OPPE, FPPE, and Peer Review, contributing to Quality and Safety initiatives.
Grand Rounds:
Assist the Department Director in organizing weekly Grand Rounds.
Create and distribute agendas, develop PowerPoint presentations, and gather necessary documents from stakeholders.
Coordinate with speakers, build EEDS, book rooms, and send reminders for the sessions.
Department Liaison and Coordination:
Act as the WMC Urology Department liaison, facilitating seamless communication with various internal departments.
Collaborate with Value Analysis Committee, Perioperative Service, and other relevant stakeholders to ensure efficient operations.
Coordinate vacation and holiday staffing and manage on-call schedules, and Amion
Administrative Assistance and Project Support
Program Support:
Aid the Administrator in managing NYMC student Electives and Selectives efficiently.
Assist in program assignments (New Innovations), and other administrative tasks.
Handle administrative duties including typing, filing, answering phones, and managing supplies.
All Other Duties as Assigned.
Qualifications:
Education requirement: Associate's degree in a relevant field, some college or business school coursework, or equivalent work experience.
Technical/computer skills: Proficiency in MS Office Suite and other relevant software required.
Prior experience: Minimum of three years experience in a secretarial and/or office setting, preferably in a healthcare or academic setting.
Other skills/requirements:
Strong organizational skills with an attention to detail.
Excellent communication and interpersonal abilities.
Ability to multitask and prioritize tasks effectively.
Minimum Salary:
USD $50,000.00/Yr.
Maximum Salary:
USD $50,000.00/Yr.
