JOB DESCRIPTION
TITLE: Front Desk - Admin. Asst.
MAJOR RESPONSIBILITIES:
Provide administrative support to Pastor and parish staff. Must be on fire for the faith with the mission of the Church at their heart, friendly and open to many interruptions. Excellent Microsoft Office and computer skills are mandatory.
DUTIES AND RESPONSIBILITIES:
Answer telephones as required; screen/forward calls and/or record and forward messages; transcribe messages from telephone answering machine.
Receive and direct visitors.
Maintain parish email account, filing systems and records.
Type a variety of materials; collate and photocopy materials as necessary; maintain supply of forms (sacramental) as needed.
Compose weekly Bulletin through Publisher.
Schedule events and facility use. Maintain parish calendar.
Open incoming mail, distribute to proper recipient(s), and compose replies if applicable.
Coordinate with business manager to post envelopes and donations in PDS. (AN) Deposit checks through digital bank scanner.
Act as Safe Environment Coordinator: receive and maintain filing of all records including clearances and training certificates from employees and volunteers. Maintain Diocesan database.
Operate and troubleshoot general office equipment (e.g., copier/printer, fax, etc.).
Maintain office supply inventory; order supplies as needed.
Assist parishioners with sacramental certificates.
Coordinate funerals & baptisms and maintain sacramental records.
Register new parishioners. Record and maintain Mass Intentions, Sunday announcements and Intercessions, including ordering Mass cards, etc.
Prepare schedules for sacristans, lectors, and altar servers.
Order flowers for Christmas, Holy Week and Easter, Holy Days, etc.
Coordinate with Our Sunday Visitor (parish envelope company) for weekly envelopes and special collection mailings such as Annual Appeal and Christmas and Easter letters.
Update OSV Hub with new parishioners, address changes, etc. Complete the Parish Pastoral report, October count, etc.
Order Liturgical Supplies for the Church.
Coordinate with the St. Vincent de Paul Society, Thanksgiving Meal collection, Giving Tree, Food Pantry, Parish Picnic, and Spaghetti Dinner.
Each Friday: Take over that weekends announcements and intentions to the sacristy. Set up for counting collectors and email a reminder to that Sunday's team.
