Responsibilities
· Provide administrative support for tax professionals in Boca Raton
· Speak directly with clients and respond to inquiries
· Scan and organize documents in SharePoint and GoFileRoom
· Maintain TaxDome software to communicate with clients and obtain tax documents
· Process tax returns using e-filing process which will be taught
· Act proactively on behalf of leadership staff to address and resolve issues
· Handle client tax return billing
· Cultivate relationships and maintain contact with company clients
· Function as a backup for other Administrative Assistants within the group and support other team activities as directed
· Handle incoming calls proficiently and follow through regarding issues raised with appropriate parties
· Develop a good working relationship with all levels of staff
· Compose business correspondence including letters and emails
· Arrange and reserve conference rooms, technology and other logistics for meetings
· Handle sensitive/confidential information requiring a high level of discretion
· Sit at reception desk and respond to visitors
Desired Qualifications
· Relevant experience supporting executives in a professional services environment
· Excellent communication skills both verbal and written including excellent grammar and proofreading abilities
· Excellent technology skills including MS Word, Excel, PowerPoint and Outlook and interest in learning additional software packages as needed
Experience with tax return processing a plus
· Ability to communicate with clients fluently in English, verbally and in writing, Spanish a plus
· Ability to develop own processes and follow through with them
· Ability to exercise good judgment and decision making
· Ability to anticipate problems and act accordingly
· Time management skills - ability to prioritize and multi-task
· Ability to take initiative, be assertive and maintain confidence
· Ability to work overtime as needed
