Title: Administrative Assistant
Location: Foothill Ranch, CA
Shift: Monday-Friday, 8AM-5PM
Payrate: $25/hr.
Description:
Main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests, and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office.
Responsibilities: Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. Prepare invoices, reports, memos, letters, financial statements, and other documents. File and retrieve corporate documents, records, and reports. Open, sort and distribute incoming correspondence, including faxes and emails. Prepare responses to correspondence containing routing inquiries.
Previous Experience: 3 to 5 year of experience in roles with similar responsibilities and track of proven success.
Leadership: Effectively delegates responsibilities within the team and ensures follow-up. Assists and supports peers in formulating ideas by offering constructive feedback. Recognizes knowledge gaps in teammates, shares relevant knowledge, and suggests learning strategies.
Agile: Applies and ensures that the team is guided by the values of Scrum and Agile development. Guides the team towards an Agile framework and shares best practices. Continuously strives to identify obstacles and inefficiencies that the team incurs, participating in its solution. Knows the principles of Lean and strives to apply them in their daily activities to contribute them to their team.
Design: Knows widely accepted models in the industry for the type of solutions they implement and promotes their use. Designs solutions considering future impact aspects such as maintainability, performance, or scalability. Takes into account the impact of the design on related solutions, minimizing impacts and communicating dependencies. Knows and keeps up to date with the latest trends.
Optimization: Understands and knows the performance metrics used for the solutions in which they are involved. Offers optimization solutions for complex problems, positively impacting metrics (e.g., turnaround time, processing time, resource consumption). Learns the latest techniques.
Technical Tutoring: Is familiar with various techniques and tools to structure effective training sessions. Identifies gaps in knowledge and experience within the team, recommending content and planning learning sessions accordingly. Adapts learning objectives and content on the fly to effectively convey the message. Establishes effective tutoring relationships and aids in continuous improvement experiences. Understands the concepts of active listening and empathy and applies them to mentoring relationships. Promotes a culture of continuous learning.
