This team is looking for an energetic Admin Assistant to join and collaborate with our team at the San Francisco office. Compensation: $32.00 to $35.00 per hour
Location: Financial District, San Francisco, CA. This positions is 100% onsite with no opportunity for remote or hybrid work. Candidates must be willing to commute to the office Monday-Friday.
Position Overview
As the Administrative Assistant, you will serve as the primary contact for all visitors, clients, and staff members. You will oversee incoming phone calls, manage the reception area, and ensure smooth day-to-day office operations. Youll work closely with team members and other departments to deliver a flawless experience for both internal staff and external guests.
Key Responsibilities
- Act as the Brand Ambassador and main contact for employees, visitors, and clients, ensuring a warm and professional reception.
- Handle all incoming phone calls, directing them to the appropriate personnel or department with care and efficiency.
- Keep the reception area clean, organized, and welcoming.
- Maintain an orderly workspace, ensuring that equipment and supplies are well-stocked and functional.
- Schedule and manage meetings and events, coordinating catering, audiovisual needs, and room setup.
- Provide additional support for events and catering, working with vendors and suppliers to ensure timely and smooth service delivery.
- Oversee the preparation and availability of conference rooms for meetings.
- Order and monitor office and pantry supplies to ensure they're stocked.
- Coordinate with building maintenance, facilities, and security teams to ensure a safe and secure workplace.
- Address facilities-related issues such as maintenance tickets, office relocations, and equipment repairs.
- Demonstrate the ability to handle complex, uncertain situations with confidence, using judgment to make well-informed decisions.
- Manage multiple priorities and tasks effectively, even when dealing with incomplete or unclear information.
- Assist with administrative tasks and special projects, such as data entry, filing, and other duties as needed.
- Ensure reception desk coverage from 8 AM to 5 PM, with flexibility to provide additional support beyond these hours if necessary.
Qualifications
- A Bachelors degree is preferred but not required.
- At least 2 years of experience in hospitality or facilities, preferably in a corporate environment.
- Strong communication skills (both written and verbal) with the ability to engage professionally with staff and clients at all levels.
- Excellent organizational skills and attention to detail, with the ability to handle multiple tasks at once.
- Proficient in Microsoft Office Suite, with experience using facilities management software considered a plus.
- Capable of working independently and maintaining a positive attitude in a fast-paced work setting.
