Administrative Assistant, Executive Office: Full-time - Calvary Albuquerque Inc

PURPOSE: To assist Executive Pastor with select daily/weekly tasks and long-term projects. Additionally, they will provide general executive office support with a variety of administrative activities and related tasks including driving/hosting special guests as needed, and leading or assisting with aspects of special services and events (green rooms, book signings, merchandise sales, etc.) – these functions will require a flex schedule the weeks they’re needed, including working some weekends.

ESSENTIAL DUTIES AND RESPONSIBILITIES in assisting Executive Office/Executive Pastor include the following, but not limited to:

• Answer phones and appropriately triage calls for Executive Pastor, forwarding appropriate messages and voicemail messages via email as needed.

• Approve time sheets of staff overseen by Executive Pastor.

• Monitor Executive Pastor’s email accounts; following up and responding with Executive Pastor as directed.

• Create daily IPMT Notes (Important Notes) pages for Executive Pastor.

• Create weekly WIRs (Weekly intel Report) for Executive Pastor.

• Submit eSPACE requests for Executive Pastor.

• Submit and follow up on requisitions for Executive Pastor.

• Maintain cleanliness and functionality of Executive Offices and kitchenette.

• Set-up for meetings for Executive Pastor, as requested (seldomly needed).

• Attend meetings with or on behalf of Executive Pastor, as requested, and takes notes/minutes, as requested (seldomly needed).

• Assist with preparation, set-up, and working of special events that involve the Executive Office and sometimes driving/hosting special guests as needed and when appropriate, sometimes requiring weekend and/or off-hours.

• Create and maintain organizational charts for the Executive Pastors (very seldomly needed).

• Complete or assist in planning official church travel for Executive Pastor (very seldomly needed).

• Complete Quick Sheets for Executive Pastor’s travel (very seldomly needed)

• ADDITIONAL TASKS & EXPECTATIONS:

• Open Executive Office mail and appropriately distribute or discard.

• Ability to maintain and respect strict Executive Office confidentiality.

• Maintain and develop tracking and filing systems as needed (both electronic and physical) (seldomly needed).

• Create, update and/or maintain databases in Outlook, Excel, etc.?

CHARACTERISTICS, SKILLS, & KNOWLEDGE REQUIRED:

• A Christ-centered heart to serve founded on a solid foundation of spiritual maturity and ministry experience

• The heart, work-ethic, faith, and duty of a servant of Christ as Jesus Himself described in Luke 17:7-10

• Must be a member of the Body of Christ at Calvary Church Osuna/West Side/Santa Fe Campus; Calvary Church must be your home church

• Bachelor’s degree or at least 4 years of equivalent experience

• Strong organizational skills

• Ability to problem solve

• Christ-like diplomacy in running interference for Executive Pastor, especially since circumstances preclude them for addressing people or items as soon as requested of them

• Effective interpersonal skills and a team-player attitude

• Strong written and verbal communication skills

• Demonstrates ability to cooperate with and submit to authority

• Demonstrates ability to work independently on assigned tasks
