Administrative Assistant - Executive level - Reading Truck

The Administrative Assistant (RTB) - At our Corporate HQ, will provide support to C-Suite / Executive leadership for all departments. You must be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Excellent people skills and time management skills are required for this role in our fast-paced environment.

The Nuts and Bolts

• Perform general administrative, clerical, and executive support tasks
• Schedule meetings, conference rooms and conference calls
• Attend meetings to record minutes; compile transcribe and distribute meeting minutes
• Assist with booking travel as necessary
• Prepare correspondence, reports, charts and/or spreadsheets as requested
• Manage executive expense reports as necessary
• Assist all departments with special projects and requests
• Create process improvements when appropriate
• Collaborate with directors to devise and implement strategic administrative improvements
• Greet visitors and determine access to staff as appropriate
• Assist HR with interview schedules, travel, etc.
• Assist with catered lunches (ordering, setting up, etc.) as necessary
• Provide back up support for Receptionist (main switchboard) when necessary (lunch breaks, vacation days, etc.) including answering and directing phone calls and taking messages

Required Credentials

• 3+ years' experience supporting C suite is required
• Advanced Microsoft Office Suite skills (including Outlook, Word, Excel, Publisher & PowerPoint)
• Experience using Salesforce, JDE and Power BI are a plus
• Must possess a high level of integrity and discretion in handling confidential information
• Must possess a high degree of autonomy, dependability, as well as the ability to multi-task and change priorities
