Job Summary:
We are looking for a detail-oriented and proactive Administrative Assistant, Executive I, to join our team. The ideal candidate will have extensive experience in providing administrative support, managing calendars, scheduling meetings, and coordinating travel. This position is critical to the successful operation of our systems engineering and architecture development processes.
Key Responsibilities:
- Calendar Management: Efficiently manage and coordinate complex calendars, scheduling meetings and events for team members.
- Travel Coordination: Handle coordination and documentation related to travel, meetings, and conferences.
- DTS Authorizations: Prepare and submit Defense Travel System (DTS) authorizations.
- Administrative Support: Provide essential administrative support for systems engineering and architecture development processes, including:
- Preparation and review of documentation.
- Compliance monitoring and progress evaluation.
- Schedule compliance and technical assessments.
- Reporting: Develop various reports, including monthly progress/status reports, and produce invoices to the Government categorized by ACRN, Functional Area, System Name, etc.
- Invoice Management: Monitor and track obligations and expenditures for assigned contract tasks, schedules, and ceilings, resolving billing and invoice discrepancies as needed.
- Technical Report Preparation: Demonstrate the ability to type and format highly specialized technical reports rapidly and accurately.
- Equipment Operation: Operate computer terminals and work processing center equipment efficiently.
- General Administrative Services: Perform a wide variety of administrative services as required.
Qualifications:
- High School Diploma required; additional education or certifications are preferred.
- A minimum of 5 years of administrative support experience, particularly in a technical or engineering environment.
- Strong proficiency in Microsoft Office Suite and familiarity with office equipment and work processing center operations.
- Excellent written and verbal communication skills.
- Proven ability to prioritize tasks effectively and work independently.
- Strong attention to detail, with the ability to manage non-technical and technical office administrative tasks.
