Job Summary:
Responsible for assisting in coordinating the programs daily administrative operations; as specified in the organizations policies and procedures and funding source regulations. Responsible for answering phone calls, greeting walk-in customers, screen referrals and schedule appointments. Responsible for daily submission of the program’s census and billing. The ability to multi-task, while maintaining complex schedules and managing administrative support, is essential in this position. Work requires basic concern for the quality of care, a concern for helping the target population, a belief in human potential for growth, and willingness to coordinate and work cooperatively with others.
Essential Duties and Responsibilities:

- Provides administrative support including telephone coverage, if needed greed new clients/visitors and/or when possible assists them.
- Maintains records to ensure clients groups and individual attendance and compliance.
- Tracks outcomes of daily group provided including individual sessions.
- Responsible for auditing all client’s files and turning in reports to clinical supervisor in a monthly basis; conducts TP, TPR and other needed reports to ensure quality of services.
- Become familiar with CMBHS, conducts CMBHS reports and train new staff on how to document services in CMBHS, ensure documentation compliance.
- Assist on maintaining up to date forms and regulations pertinent to program operations.
- Provides administrative support including ordering needed program items though the purchasing system. Also, takes and relays messages and connects calls to the appropriate office/person.
- Responsible for program reports such as match, contractors pay, and other monthly reports required by agency.
- Other duties as assigned by Clinical Supervisor or Divisional Director.
- Prepares files prior to appointments and verifies Medicaid/Insurance eligibility on a daily basis.
- Responsible for compiling, maintaining, and submitting billing in a timely manner as mandated by Aliviane Inc.’s Billing Department.
- Maintains a complete data system and prepares daily census reports, weekly billing reports, monthly program reports and other departmental reports in a timely manner and as requested by Director.
- Responsible for creating client reports off all data entered for quality reports. Responsible for administratively review of new admitted client files and turning in reports to Director on a weekly basis.
- Operates job related equipment including the use of basic computer programs, including MS Office to create spreadsheets, PowerPoint presentations, reports, documents, etc. to effectively carry out the duties of the position.
- Maintains good work habits through timeliness and low absenteeism.
Required Education and Work Experience:
- Associates Degree in Business, Social Services, Social Science or Psychology from a regionally accredited college/university AND two (2) years work experience in Medical office setting or Behavioral Health agency is required.

- High school diploma/G.E.D. Certification AND four (4) years of related work experience.

- Any combination of education and experience that can be demonstrated to be applicable to the duties listed in the job description.

- Must be computer literate and proficient in computer skills including knowledge in ALL Microsoft programs. Above average knowledge with excel spreadsheets and Medical office process, authorizations appeals and peer reviews needed.
