About the Job
Cordoba Corporation is seeking an Administrative Assistant with outstanding communication and organizational skills, who will support the Long Beach Bond Management Team in the daily reporting, communications, operations, coordination, and general administrative needs of the Bond Program. Individuals must be able to manage multiple tasks, exhibit strong organizational skills, have a basic understanding of design and construction industry.
Responsibilities:- General Administrative Duties
- Manage Program Directors Calendar
- Manage BMT Calendar
- Issue Construction Alerts
- Ensure Program Director is attending necessary meetings
- Help Program Director with miscellaneous tasks
- Help Construction Managers with miscellaneous tasks
- Plan and execute Friday Fun Day events (currently every other month)
- Help coordinate events
- Order and pickup food for specific meetings
- Distribute parking passes
- Keep directory up-to-date
- Add vacation and sick time to BMT calendar
- Lead meetings
- Take Meeting Minutes/ Notes
- Coordinate staff birthdays
- Order Office Supplies
- Shirts for staff
- Office supplies
- Staff Onboarding / Human Resource Coordination
- LBCC email creation request
- Computer setup
- Phone number assigned to desk phone (IT Ticket)
- Make sure they have correct Deltek codes
- Participate in intern interviews
- Send necessary selected candidates’ info to HR
- Strong interpersonal, communication and customer service skills are essential because of regular communication with internal and external business partners.
- Well organized person, who is a self-starter and highly motivated.
- Minimum three years of experience in office administrative work
- Knowledge of accounting procedures (Invoicing and Purchase Orders)required
- Proficiency in Microsoft Office
- Excellent verbal and written communication skills
- Knowledge of basic construction management procedures preferred but not required
- Degree in architecture, engineering, construction management, or related discipline is preferred, but not required
- Salary Range: $45,000 to $55,000 per year
- Location: Long Beach, CA - 100 percent onsite
