Administrative Assistant - The Job Exchange Associates, Inc.

Our client in Downingtown Pa is looking for an Administrative Assistant to assist the General Manager, Operations Manager, Office Manager and the owner of the company. This is a Direct Hire, FT, In office position with salary up to 55k and excellent benefits.

The Administrative Assistant will assist the management team by performing administrative tasks as assigned/required. This person must be willing to take ownership of projects, maintain confidentiality, meet deadlines and have the ability to work with other employees as well as the management team.

Essential Duties

• Assist the General Manager with vendor contracts for all business services and research new vendors to secure best pricing for company services.
• Assist the Office Manager with staff scheduling and review of incoming/outgoing correspondence.
• Assist the Operations Manager with compiling client quotes for work orders and special projects.
• Prioritize and manage multiple projects with independence. Track project progress using Excel or Outlook Tasks, keeping management apprised of project status.
• Assist in the preparation of regularly scheduled reports.
• Serve as communication liaison between the management team and clients.
• Maintain confidentiality and keep communication open with management.
• Respond to client needs quickly and efficiently, seeking input from Management as needed.
• Work cooperatively with Office Administrative Staff and Operators to support database management and routine work flow, and facilitate meeting of deadlines.

Qualifications

• Advanced level experience with Microsoft Word and Excel. MicroSoft Office Suite Plus Certification preferred, but not required
• Excellent writing skills
• Strong communication skills
• Superb attention to detail
• 3+ years experience as an administrative assistant
• Experience working for an environmental services company, or related experience is preferred but not essential

Schedule:

Monday – Friday, 9:00am to 5:30pm including half-hour lunch break off-clock. This is a 40 hour work week and there is flexibility on start and end time.
