POSITION SUMMARY:
The Administrative Assistantcarries out responsibilities for performing office/clerical assignments, various tasks and managing the daily flow of service as delegated by the Convent Administrator or their designee.
QUALIFICATIONS:
High School Diploma or equivalent
Minimum 2 years working in a clerical role
Demonstrates proficiency in all MS office applications
Experience in a healthcare setting a plus
ESSENTIAL DUTIES RESPONSIBILITIES - Includes, but is not limited to the following:
Provides support for the Nursing Team in all daily administrative duties as well as special projects.
Coordinates in-house appointments with doctors for Sisters, generates patient roster, coordinates monthly visits, patient reminders and staff evaluations.
Assists with transportation coordination to and from medical appointments for the Sisters on a daily basis.
As requested, makes appointments for Sisters with Doctor/Dentist office, radiology and labs.
Maintains department files in good order.
Ensures medical records are kept up-to-date at all times. Maintains integrity of patient charts.
Answer phones, directs phone calls and/or take messages as required.
Provides support and understanding to all the Sisters needs and concerns.
Orders supplies and maintains accurate records of deliveries. Other duties as assigned.
Keeps all office equipment in working order. Contacts vendor as needed for repairs
May be required to assist in emergency situations.
Performs related and miscellaneous duties as required.

WORK ENVIRONMENT:
This job operates in a professional healthcare office environment. This role routinely uses standard office equipment such as computers, photocopiers, staplers, pens/pencils and phones, etc.

While performing the duties of this job, the employee is regularly required to talk or hear, use hands and fingers to handle, feel or operate objects, tools or controls, and reach with hands and arms. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift papers, open filing cabinets, bend, carry, push, pull or otherwise move objects, including the human body. This is a sedentary position that involves sitting most of the time except when utilizing the copy machine where standing is required for extended periods. Specific vision abilities required by this job include close vision and ability to adjust focus.
