The ideal candidate will possess an Associate's degree or higher and have a strong background in office administration. The Administrative Assistant will be responsible for providing comprehensive support to ensure efficient operation of the office. This role requires a professional with excellent communication skills, attention to detail, and the ability to manage multiple tasks effectively.
- Office Support:
- Maintain office supplies inventory by checking stock and ordering new supplies as needed.
- Organize and schedule appointments, meetings, and travel arrangements.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Administrative Support:
- Prepare and edit documents, reports, and presentations.
- Maintain filing systems, both electronic and physical, ensuring all records are up to date and easily accessible.
- Assist in the preparation of regularly scheduled reports.
- Customer Service:
- Greet and assist visitors in a professional and friendly manner.
- Respond to customer inquiries and provide information about the company's services.
- Data Management:
- Enter and update information into databases accurately.
- Generate reports and analyze data as required.
- Event Coordination:
- Assist in the planning and execution of company events and meetings.
- Coordinate logistics, including venue booking, catering, and equipment setup.
-Billing/Invoicing:
-Managed billing and invoicing, expense reports management, and AP/AR duties. Strong experience in MS Excel and QuickBooks.
Qualifications
- Education:
- Associate's degree or higher in Business Administration, Office Management, or a related field.
- Experience:
- Proven experience as an Administrative Assistant, Office Administrator, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Skills:
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Detail-oriented with a high degree of accuracy.
- Strong problem-solving skills and a proactive approach to tasks.
- Other Requirements:
- Ability to handle confidential information with discretion.
- Professional demeanor and strong interpersonal skills.
