About the Position:
The Administrative Assistant to the Chief of Staff provides comprehensive administrative support to ensure the smooth operation of the communications team. This role involves handling sensitive information with discretion, managing communications, coordinating schedules, and facilitating the Chief of Staff’s daily activities to enhance productivity and efficiency. Along with supporting the Chief of Staff, this role will also support two other senior leadership members. They are responsible for a variety of functions including document processing and preparation, scheduling, data entry, reception and secretarial duties.

What You Will Do:
- Performs a variety of administrative, secretarial and receptionist tasks for the project including, but not limited to, arranging itineraries, preparing agendas, arranging meetings, and composing correspondence and memos.
- Establishes and maintains files and records, which may include clinical or other confidential materials.
- Provide administrative support to Senior Vice President of Residential Programs and COO of Community Based Projects.
- Provide clerical support to Community Liaison.
- Assist in planning and executing office events, board meetings, or corporate functions as directed by the Chief of staff.
- Receives, screens and routes visitors, correspondence, and telephone calls.
- May attend committees or other meetings.
- Maintains general filing systems.
- Attend and participate in Amity community building functions.
- Attend workshops, meetings, and trainings as requested by supervisor.
- May serve as Community Advocate role in addition to job as requested by community leadership.
- Performs other related duties as assigned.
What You Will Bring:
Required:
- A High School diploma or GED
- Be at least twenty-one (21) years of age.
- Possess good interpersonal, written, communication and typing skills.
- Handling general office tasks and administrative duties.
- Ability to write and issue emails to teams and departments on behalf of teams or senior staff.
- Self-motivated, professional, and capable of managing the workload and prioritizing tasks for multiple senior leadership staff.
Certifications or Licenses:
Required:
- Valid Driver License
- Pass a physical examination and tuberculosis test from a health professional.
- None.
- Excellent organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Excellent interpersonal, negotiation, and conflict resolution skills.
- Strong analytical and problem-solving skills.
- Ability to prioritize tasks and to delegate them when appropriate.
- Ability to act with integrity, professionalism, and confidentiality.
- Proficient with Microsoft Office Suite or related software.
