Summary
Our Cedar Rapids Design Center is seeking a part-time Administrative Assistant (30 hours per week). This is a Contract position.
You will provide administrative and clerical support to relieve department managers and/or staff of administrative details. You will use automated office equipment such as a computer to compose and type routine letters, reports and other materials. You will maintain alphabetical, numerical or subject filing systems. You will screen calls and take messages. You will use both spreadsheet and presentation software. You will act as an information source on organization processes and procedures. You will schedule appointments and may assist in establishing office processes and procedures. You will coordinate special projects and department activities. #LI-DB1
Job Responsibilities
You will work on assignments that are moderately complex in nature where judgment is required in resolving problems and making routine recommendations.
Responsibilities include:
- Clerical support of management staff
- Visitor reception and phone coverage
- Expense report tracking, including spreadsheet report generation
- Interface with contractors for facility maintenance and repairs
- Oversee and manage janitorial service provider
- Administrative support for a product development staff of ~150
- Expense report submission
- Schedule meetings for staff and visitors, including room setup and amenity coordination
- Order miscellaneous materials and office supplies
- Shipping, receiving, and distribution
- Coordinate employee events
- Talent Acquisition support
- Interview scheduling
- Candidate travel coordination and expense reimbursement
- Engineering Lab administrative support
Job Requirements
- Requires administrative experience, and arithmetic skills to read instructions and maintain records
- Must have experience using specialized equipment and automated office equipment such as faxes, copiers, PC’s and printers
- Candidate should be eager to learn, detail oriented, and capable of working in a fast paced, dynamic environment
- Ideal candidate will be a motivated and proactive self-starter, who is able to work with direction as part of a team, and be productive while working unsupervised
