- Ensure efficient office operations by providing high-level administrative support.
- Answer and manage professional correspondence (calls, emails, mail).
- Schedule and coordinate meetings for management and field teams.
- Maintain organized records, including data entry, filing, and document management.
- Assist in preparing reports, presentations, proposals, and invoices.
- Act as a liaison between contractors, clients, and vendors to address inquiries or issues.
- Support material shipping processes, including printing shipping labels and handling pickup schedules.
- Use construction scheduling software (Service App) to coordinate workflows.
- Manage QuickBooks entries for financial documentation.
- Meet with contractors and assist with client orders, payment collection, and follow-ups.
- Manage social media platforms (preferred but not required).
- Monitor and order office supplies to maintain inventory levels.
- Perform other duties and special projects as assigned.
- Experience: Prior administrative experience in construction, retail, or related industries preferred; willing to train motivated individuals.
- Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and QuickBooks.
- Experience with construction scheduling software is a plus.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills with the ability to multitask in a fast-paced environment.
- Positive, proactive attitude and strong problem-solving abilities.
- Bilingual proficiency is a plus.
- Must be able to pass a background check.
