About the Job
We are a well-established and always growing family law legal document preparation company seeking an organized, detail-oriented, and professional full-time Administrative Assistant to join our team. The ideal candidate will demonstrate excellent communication skills, a strong work ethic, and the ability to work effectively under pressure in a fast-paced environment. This is an exciting opportunity to work directly with the owner of the business and contribute to the continued growth of our company.
Key Responsibilities:
• Plan and schedule appointments and events efficiently
• Greet and assist onsite clients and visitors in a professional manner
• Answer inbound calls on a multi-line telephone system with clarity and professionalism
• Maintain organized filing systems, both physical and electronic
• Prepare legal documents, correspondence, and other administrative tasks as needed
• Communicate with current and prospective clients by phone, email, and in person
• Perform other office duties as required
Requirements
Qualifications:
• Minimum of 2 years of experience in office administration or a related field, preferably in family law
• Strong multitasking abilities and the capability to handle a high volume of clients and inquiries simultaneously
• Excellent written and verbal communication skills
• Strong interpersonal skills with a passion for providing exceptional customer service
• High attention to detail and a proactive approach to problem-solving
• Team player with a positive attitude and a desire to contribute to the company’s success
• Ability to adapt to a dynamic work environment and take on new responsibilities
• Strong organizational skills with the ability to prioritize tasks effectively
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
• Must be a commissioned Notary Public or able to obtain your notary commission (no felony convictions)
• Reliable transportation and valid driver’s license required
Additional Preferred Qualifications:
• Experience with Arizona Family Law, specifically legal documents
• Familiarity with appointment scheduling in a high-volume environment
• Knowledge of Google Drive, Google Calendar, and Adobe Acrobat
• Experience with Vonage, Copper CRM, or similar software systems
• Prior experience in sales or client relations is a plus
