We are seeking a highly motivated Administrative Assistant to join a dynamic team, providing floating administrative coverage across our client's Asset & Wealth Management division. The ideal candidate will bring exceptional organizational and interpersonal skills, a proactive approach to problem-solving, and a commitment to excellence in administrative support.
Key Responsibilities
- Flexible Coverage
- Provide administrative support to varying teams as needed, ensuring seamless operations.
- Calendar Management
- Proactively manage complex calendars across multiple time zones, prioritize meeting requests, and coordinate phone/video conference calls.
- Travel Logistics
- Arrange travel plans, including flights, accommodations, and itineraries, and provide logistical support during trips.
- Expense Management
- Process expenses and invoices accurately and in a timely manner.
- Meeting Coordination
- Schedule and arrange internal and client meetings, book conference rooms, organize catering, register guests, and prepare materials.
- Compliance Adherence
- Ensure all actions comply with company regulations, securing necessary approvals.
- Team Integration
- Actively participate as an integral team member, maintaining awareness of team priorities and support needs.
- Administrative Duties
- Perform general administrative tasks such as answering phones, time entry, copying, scanning, archiving, and managing ad hoc projects as required.
Skills and Qualifications
- Experience
- Previous experience as an Administrative Assistant in a financial services or corporate environment.
- Organizational Skills
- Ability to multitask, prioritize effectively, and follow up on outstanding items.
