Position Summary
The Administrative Assistant is responsible for providing comprehensive administrative support, managing correspondence, scheduling appointments, and maintaining filing systems while serving as a primary point of contact for inquiries. The role assists in document preparation, database management, and office operations, drives meeting coordination, travel arrangements, and inventory management. They collaborate with other administrative staff and support cross-functional initiatives and projects.
What will your job entail?
Job Responsibilities:
• Answer phones, screen calls, transfer calls, and take messages.
• Greet visitors with courtesy and professionalism.
• Perform follow ups for various information requests received from customers/fellow employees.
• Organize supplies, keeping inventory records and placing orders.
• Perform basic office duties: filing/copying/printing documents.
• Process all incoming electronic and physical mail.
• Process all outgoing physical mail.
• Keep meeting rooms and common spaces neat and tidy, run, and empty dishwasher daily.
• Perform additional duties as assigned.
• Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies, and verifying receipt of supplies.
• Coordinate and schedule meetings, appointments, and travel arrangements for managers and staff.
• Serve as the point of contact for internal and external communications, including answering phone calls, responding to emails, and greeting visitors.
• Prepare and edit correspondence, reports, presentations, and other documents as needed.
• Accurately enter and update data in various systems and databases, ensuring data integrity and confidentiality.
• Organize and maintain electronic and paper files, ensuring documents are easily accessible and properly archived.
Work Experience and Education:
• 6 months to a year of related experience.
• Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
Licenses & Certifications:
• Microsoft Office Specialist (MOS) or Certified Administrative Professional (CAP) certifications is preferred.
