The Office of Early College and Career Education (ECCE) is a department that is nested within the Office of College and Career Success (OCCS). ECCE strives to improve the quality of college and career education by increasing students' access to dual credit and dual enrollment opportunities in early college credit attainment, as well as to expand postsecondary enrollment and completion. In addition, ECCE strives to enhance access to STEM, CTE programming, and high-quality Work-Based Learning opportunities for middle and high school students to support youth employment and economic mobility.
Job Summary:
Reporting to the Executive Director, the Administrative Assistant will support a variety of projects, as well as reporting, communications, and general administrative work.
The Administrative Assistant, Early College and Career Education will be held accountable for the following responsibilities:
- Support management of ECCE systems and processes.
- Provide administrative support including but not limited to updating and maintaining calendars for Executive Director time off, photocopying and printing, preparing meeting materials, and scheduling meeting locations.
- Create regular and ad hoc reports.
- Support the department's communication strategy, including but not limited to ensuring newsletters are free of errors, delivered on time, and to the correct audience
- Create and coordinate a streamlined process for updating and managing critical documents used by staff district-wide.
- Coordinate circulation of external and internal communications (memos, newsletters, etc).
- Use various tools used to collect and maintain data, e.g., Google Suite, etc.
- Develop and edit digital media presentations for advertisements and meetings.
- Performing routine administrative duties supportive of ECCE workstreams and priority projects;
- Answering phones, directing calls to the appropriate parties, and taking messages as appropriate;
- Annual temporary deployment to support schools.
- Other duties as assigned.
In order to be successful and achieve the above responsibilities, the Administrative Assistant must possess the following qualifications:
Education Required:
- Bachelor’s degree from an accredited college or university
Experience Required:
- Minimum of two (2) years ofadministrative or clerical duties work experience is required, which can include the following:
o Previous internships preferred
o Digital Media experience preferred
- Familiarity with Google Suite preferred
Knowledge, Skills, and Abilities:
- Ability to use and quickly learn and apply a variety of CPS tools
- Strong interpersonal, presentation and communication skills (Verbal, Written, Listening)
- Ability to build collaborative relationships with a variety of constituent groups, including external partners, to ensure the entire system supports schools and principals effectively
- Ability to define problems, analyze data, and outline valid conclusions and action steps
- Ability to see projects through the full life cycle, monitor progress, and make adjustments as needed
- Ability to thrive in a fast-paced environment; Ability to work independently or in a team environment
- Capable of handling sensitive information and maintaining high levels of confidentiality
- Proficiency with the Google Suite applications
- Strong attention to detail
Conditions of Employment
As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
- Establish/Maintain Chicago Residency -Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part-time positions, however, all CPS employees must be residents of Illinois.
