Summary:
The position is responsible for supporting the Nursing Program office and working directly with the administration, staff, and faculty to coordinate Nursing Program activities and enhance the positive educational experience at school. This position supports and services the student body and general public. This position will also aid the Nursing Program Administrator in operating and administering all facets of the nursing school operations. Maintains current knowledge of all nursing programs policies, procedures and processes to assure efficiency and integrity of the programs. Responsible for documentation and records for immunizations for students/faculty. Maintains NCLEX information for the college.
Duties & Responsibilities:
- Establishes and maintains confidential files, which may include student, personnel, and payroll records.
- Maintains inventory and service/repair/vendor call records of supplies and equipment such as copiers, printers, textbooks, shredding, building maintenance requests, and linen cleaning
- Ordering and maintaining office supplies
- Assist with ordering and maintaining lab supplies
- Attends meetings as a recorder, prepares minutes and oversees distribution of approved minutes
- Answer, screen and transfer phone calls as appropriate
- Covers the front desk as needed
- Maintains the electronic filing system for accreditation purposes for all faculty and staff
- Assigns faculty the appropriate student mentees
- Tracking of student medical compliance - notify any student of non-compliance
- Notification of clinical assignments to students, faculty and clinical facilities
- Submission of required medical documentation to clinical facilities
- Ensure all required clinical evaluations are obtained from students, faculty and clinical facilities
- Assist with clinical coordination
- Maintain exam schedule calendar and obtain proctors for exams as scheduled
- Monitors for completion of exit requirements for all graduating students, prepares the roster for signature and submission
- Assist Director in data gathering on: graduate performance, alumni surveys, and employer surveys, NCLEX and needs analysis for any new programs.
- Maintain OSHA manual
- Assist with onboarding of new faculty and staff by obtaining necessary compliance documents and setting up payroll
- Assist the IT Director with reviewing program software usage such as LMS review
- Coordinate and assist with health fairs, flu shot clinics and wellness fairs and fingerprinting.
- Participate in student orientations, boot camps, and informational meetings.
- Assist with pinning
- Additional duties as assigned by the Program Administrator
Requirements
Work Experience Requirements:
- Knowledge of operation of standard office equipment
- Ability to communicate effectively with diverse populations; verbally and in writing
- Computer knowledge of the google platform such as document sharing and management
- Knowledge of Google Sheets/Google Docs and general email usage
- Knowledge of principles and practices of basic office management
- Ability to be self directed and work independently
- Ability to maintain good organizational structure
- Ability to work flexible hours including evenings
- Professional appearance
Education:
- High School Diploma or equivalent
- Associate Degree or higher preferred
