About the Job
Peddie is seeking an administrative assistant in its Business Office department. This full time, non-exempt role is responsible for supporting daily operations of the department under supervision of the Director of Finance. The successful candidate will be responsible for, but not limited to:
Student Accounts
·Records payments received to student accounts.
·Charge student accounts for tuition, fees, incidentals; credit student accounts for financial aid
·Maintains student tuition accounts/book payments to student accounts through tuition management receivable system
·Process tuition refund insurance claims as needed
·Collections: A/R follow up to collect amounts due on student accounts (including tuition payments and incidental charges)
·Assists parents with tuition concerns and responds to all fee- and payment-related inquiries.
·Completes all necessary applications for Aid in Lieu as it relates to Student Transportation.
Peddie Card
·Record additions to student or agency accounts
·Transfer funds between tuition and Peddie card when necessary
·Programs Peddie Card readers for various student clubs and prints reports for clubs and accounting.
·Responds to student requests to deposit funds onto Peddie Card.
Cash Receipts
·Records unrestricted and restricted cash and stock receipts (including to endowment), in consultation with Alumni and Development Office.
·Records cash received other than tuition and gifts
Risk Management and Compliance
·Works with CFO and Director of Finance to complete renewal of all insurance policies.
·Maintains copies of all vendor/ contractor service contract/agreement executed by each department.
·Ensures current Certificate of Insurance is maintained on file for each active service vendor / subcontractor.
·Receives and responds to all subpoenas which come through the Business Office, including collection of data from follow up with all departments as needed.
Board of Trustees Committees
·Schedules Board Committee Meetings to attendees (Audit, Retirement, Finance, Investment, Buildings/Grounds). Documents minutes of meeting for certain board committees.
Other Business Office Functions
·Maintain business office credit cards
·Input/tracking of utility bills
·Organizes and maintains document storage and record retention for the Business Office
·Will lead initiative to digitize Business Office records and file storage
Accounts Payable
·Act as a backup to the Accounts Payable Bookkeeper, if and when needed
General Office Support
·Answers multiple phone lines in a busy office environment and screens calls.
·Greets visitors to the Business Office.
·Receives and distributes incoming and outgoing mail related to the Business Office.
·Responsible for ordering all Business Office supplies and re-stocking shelves.
·Oversees all shredding needs for each department.
·Manages petty cash fund for Business Office.
·Serves as a notary for operational departments.
AND OTHER DUTIES AS ASSIGNED BY SUPERVISOR
Qualifications:
·Minimum of five years of experience in an administrative role.
·Proficiency with computers and technology in general
·Excellent oral and written communication skills
·Ability to build relationships and interact compassionately and collaboratively with diverse colleagues and constituents;
·Strong project management, organizational and time management skills;
·Willingness to learn new skills as required
