Position Overview:We are looking for a proactive, detail-oriented, and highly organized Executive Assistant to support our senior leadership team within the Business Development & Regulatory Services departments. This role is critical in ensuring seamless operations and plays a pivotal part in supporting the team's strategic goals. As a key partner to senior executives, you will handle a variety of high-level administrative tasks, ensuring efficiency and professionalism in all interactions. Key Responsibilities:- Provide high-level administrative support to senior executives, managing schedules, coordinating meetings, and handling all forms of communication with clients and team members.
- Serve as the first point of contact for internal and external stakeholders, ensuring prompt, professional responses to inquiries.
- Manage complex calendar scheduling, coordinating meetings, travel arrangements, and event logistics.
- Handle highly confidential information with utmost discretion and professionalism.
- Prepare, proofread, and manage communications and reports with accuracy and clarity.
- Create and maintain detailed Excel spreadsheets, reports, and databases for various administrative and operational needs.
- Track project milestones, ensuring productivity targets (e.g., billable hours) are met and deadlines are adhered to.
- Support the Business Development & Regulatory Services team with additional administrative tasks as needed, maintaining a collaborative approach.
- Bachelor's degree in Business Administration or related field preferred; equivalent professional experience will be considered.
- Minimum of 5 years' experience providing executive-level administrative support, ideally within the finance or insurance industries.
- Superior communication and organizational skills, with the ability to prioritize tasks in a fast-paced environment.
- Strong problem-solving abilities, paired with a proactive, solution-oriented mindset.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and Adobe) and experience with managing complex data and reports.
- High level of professionalism, especially in handling sensitive and confidential information.
- Demonstrated ability to work independently while also being an effective team player.
- Capacity to stay focused and organized in a dynamic, fast-moving work environment.
