- Provide administrative support to ensure efficient operation of the office, including answering phone calls, managing correspondence, and handling inquiries.
- Coordinate scheduling for appointments, meetings, and fieldwork for the team.
- Manage and maintain organized electronic and physical filing systems.
- Assist with invoicing, billing, and tracking expenses; collaborate with the accounting department as needed.
- Prepare and distribute daily job schedules to field technicians and ensure clear communication between office and field teams.
- Order office supplies and manage inventory to ensure the office is well-stocked.
- Support project documentation and assist with permits, reports, and compliance requirements.
- Greet visitors and clients, ensuring a welcoming and professional environment.
- Assist in handling emergency service calls and coordinating appropriate responses with field technicians.
- Provide general office support and take on additional tasks as assigned to help Shelby Electrical Corp maintain high standards in client service and operations.
- 2+ years of administrative experience, preferably in a construction or electrical contracting environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with office management software.
- Strong organizational and time-management skills, with the ability to multitask and prioritize in a fast-paced environment.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- Familiarity with scheduling and invoicing is a plus.
- Fluency in Russian is a big plus!
- Must be authorized to work in the U.S.
