Supports the management team in the department. Duties include a variety of clerical / administrative functions such as telephone triage, mail, word processing and calendar management.
Essential Duties and Responsibilities:
- Manage and monitor department’s internal referral work queues.
- Monitor and respond to the department’s in-basket or secure chat messages and email groups.
- Schedule, reschedule and canceled appointments upon provider or patient requests.
- Block provider’s schedule for approved time off.
- Canceling and rescheduling patients when a provider is out sick.
- Mail appointment reminder letters and make confirmation calls for new patients.
- Sort out incoming mail, fax or scan documents.
- Management of daily DAR report to ensure correct insurance plan is billed, attach referrals, and track low balance of authorization on patient’s accounts and initiate new authorizations.
- Management of daily Hospitalization/ED reports.
- Maintain a professional, courteous, and positive manner with all contacts.
- Work collaboratively in relationships with co-workers, participate in achieving common goals, share knowledge and expertise willingly, and lend assistance as needed.
- Conveys information clearly in writing and orally, listen with empathy, accept constructive criticism/feedback, responds to inquiries accurately and in a timely manner.
- Deliver service in a non-judgmental manner that is sensitive to and respectful for the patient.

- Reads, understands, and complies with all Standards of Conduct, Joint Commission policies and all laws related to position responsibilities and Employment at EBNHC.
- Upholds procedures and systems to safeguard the confidentiality of all patient and employee information.
- Upholds safety policies, practices, and procedures including safety, fire safety, electrical safety, proper body mechanics and material handling, office/ergonomic safety, and other employee safety measures.
Qualifications and Requirements:
High School diploma or GED required.
- Minimum of one year of experience of customer service role/office setting, preferably in health care.
- Working knowledge of insurance rules and regulations preferred, but not required.
- Strong organizational skills and effective interpersonal skills.
- Ability to solve problems effectively.
- Pays close attention to detail.
- Demonstrates computer literacy, organization, and a professional attitude.
- Bilingual in English and another language appropriate to the health center’s patient population preferred, but not required.
