We’re seeking a highly organized and proactive Administrative Assistant to support 8 Managers across 2 divisions at a global automotive company in Raymond, Ohio. This role will involve significant coordination, communication, and administrative support, with a strong focus on purchase orders and supplier communication. The ideal candidate will possess excellent multitasking abilities, attention to detail, and an interest in the automotive industry.
This position requires mandatory onsite attendance for the first 3 months and will require 40-hour work weeks.
There will be a possibility of a hybrid schedule after ramp-up, depending on division needs.
Candidates with less experience but a high level of enthusiasm, willingness to learn, and a strong work ethic are encouraged to apply.
Key Responsibilities:
- Provide administrative support for 8 Managers across two divisions, coordinating meetings, desk moves, purchase orders, shuttle vehicle and test car disposal coordination.
- Attend and document key points from multiple meetings (4+ daily, onsite, and virtual), sharing notes with up to 150-200 people.
- 80% of tasks will be related to managing purchase orders, communicating with suppliers, and ensuring timely procurement of equipment and electronics.
- Coordinate with internal teams regarding process updates (e.g., new processes for submitting POs, shuttle rules).
- Collaborate with other administrative staff to streamline processes and ensure cross-divisional communication.
- Provide meeting materials, gather feedback, and ensure information flow across teams.
- Assist with special projects and other administrative tasks as required.
Required Skills:
- 3-5+ years of administrative, executive assistant, or coordination experience (flexibility for candidates with high-volume support roles in customer service, hospitality, finance coordination, etc.).
- Proficient in Microsoft Office Suite (Excel, Word, SharePoint).
- Strong organizational, multitasking, and prioritization skills, with the ability to shift priorities as needed.
- Excellent follow-up and coordination skills.
- Attention to detail, particularly in compiling and filing records or documents.
- Ability to take ownership of tasks and thrive in a fast-paced environment.
- Strong written and verbal communication skills.
Preferred Skills:
- Familiarity with finance, purchase orders and procurement processes.
- Passion for the automotive industry or experience supporting automotive/R&D environments.
- Experience with report generation and working with large teams.
Duration: 1-2+ years with potential for yearly extensions
