Salary/Hourly Rate:
$52,000
Position Overview:
The Administrative Assistant supports executive(s) and office by doing administrative tasks like ordering supplies, creating reports, managing the office, following up with external partners, and supporting various department leaders. The ideal Administrative Assistant candidate has experience with Linux software and is also organized, attentive, and communicates well.
Responsibilities of the Administrative Assistant:
- Provide administrative support: Assist with day-to-day administrative tasks such as answering phones, managing emails, scheduling appointments, and maintaining office supplies
- Coordinate projects: Collaborate with the team to ensure smooth project execution, including organizing project timelines, tracking progress, and communicating updates to relevant stakeholders
- Manage vendor relationships: Liaise with vendors, contractors, and service providers to schedule appointments, coordinate deliveries, and resolve any issues that may arise
- Assist with operations: Support the operational activities of the company, including document management, filing, and maintaining databases to ensure accurate and up-to-date information
- Prepare reports: Compile data and generate reports related to financial transactions, market analysis, and other relevant information as requested by management
- Conduct research: Assist in gathering information and conducting research on investments, market trends, competitors, and other related topics to support decision-making processes
- Maintain records: Ensure proper record-keeping by organizing and managing physical and electronic files, including contracts, leases, agreements, and other important documents
- Coordinate meetings and events: Schedule and arrange meetings, appointments, and events, including booking venues, coordinating catering, preparing materials, and managing RSVPs
- Support marketing efforts: Assist in marketing activities such as creating promotional materials, managing social media accounts, and coordinating advertising campaigns
- Provide exceptional customer service: Act as a point of contact for clients, providing assistance, answering inquiries, and addressing concerns in a timely and professional manner to ensure a positive client experience
Qualifications for the Administrative Assistant:
- Bilingual, Spanish requirement
- Experience with Linux software requirement
- Strong written and verbal communication
- Tech savvy: strong with MS Outlook and Excel
- Takes initiative and is proactive. Willing to take on ad-hoc projects
- Strong attention to detail – cannot let tasks slip through the cracks
- Minimum 5 years of experience supporting as Administrative Assistant
- Have proven ability to independently manage multiple tasks and projects with completing priorities and deadlines
- Ability to remain focused, efficient and effective in managing multiple priorities
- Strong interpersonal skills
- Highly proficient with Word, Excel, PowerPoint, Outlook and willingness to learn other software
- Excellent written and verbal communication skills
- Ability to work in fast paced environment and maintain effective working relationships with vendors, clients, co-workers and management team
- Knowledge with all of Microsoft (Specifically: Word, Excel, Teams, Outlook)
Education Requirements:
- Associates degree is required
