We are seeking an experienced, dynamic, and diligent individual to join our team as a Permanent Administrative Assistant in our Finance department. This is an exciting opportunity for a seasoned professional to bring their expertise in administrative support to a thriving and vibrant financial team. The ideal candidate will have a strong background in managing calendars, invoicing, scheduling, expense reports, filing, and data entry. You should have a minimum of 5+ years of experience in a similar role, preferably within the finance industry.
Responsibilities:
As an Administrative Assistant, you will play a pivotal role in supporting our finance department by performing a variety of administrative tasks. Your responsibilities will include:
1. Managing and maintaining executive schedules, including scheduling meetings, conferences, and travel.
2. Overseeing the invoicing process, ensuring all invoices are issued and processed in a timely manner.
3. Preparing and submitting expense reports, ensuring all expenses are accurately recorded and receipts are filed appropriately.
4. Managing the filing system, ensuring all documents are properly stored and easily retrievable.
5. Performing data entry tasks, ensuring all data is accurately inputted into the necessary systems and databases.
6. Providing general administrative support to the finance team, including but not limited to, photocopying, faxing, mailing, and filing.
7. Coordinating project deliverables and follow up on outstanding items.
8. Assisting in the preparation of regularly scheduled reports.
Qualifications:
To be successful in this role, you will need the following qualifications:
1. A minimum of 3+ years of experience as an administrative assistant, preferably in the finance industry.
2. Proficient in managing schedules and calendars.
3. Experience in handling invoicing, expense reports, and other financial documents.
4. Strong data entry skills with an eye for detail and accuracy.
5. Excellent organizational skills with the ability to manage multiple tasks simultaneously.
6. Strong verbal and written communication skills.
7. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
8. Ability to work independently and as part of a team.
9. High level of discretion and confidentiality.
