Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth and efficient operation of the office. This role involves a variety of administrative and clerical tasks, and requires excellent communication skills, both written and verbal.
Key Responsibilities:
- Office Management: Maintain an organized office environment, manage office supplies inventory, and place orders as necessary.
- Communication: Answer and direct phone calls, take messages, and handle incoming and outgoing correspondence.
- Scheduling: Manage calendars, schedule appointments, and coordinate meetings and events, including arranging travel and accommodations as needed.
- Documentation: Prepare and edit documents, reports, and presentations. Handle confidential information with discretion.
- Customer Service: Greet and assist visitors, clients, and staff in a professional and courteous manner.
- Support: Assist in the preparation of regularly scheduled reports, perform research as required, and provide general support to team members.
- Special Projects: Undertake special projects and additional duties as assigned by management.
Qualifications:
- High school diploma or equivalent; Associate’s degree or higher preferred.
- Proficiency in MS Office (MS Excel, Word, and Outlook, in particular).
- Excellent time management skills and ability to prioritize work.
- Attention to detail and problem-solving skills.
- Strong organizational skills with the ability to multi-task.
- Excellent written and verbal communication skills.
