About the Job
The Arlington Division of Applied Research Associates, Inc. (ARA) has an immediate opening for an energetic, well-organized full-time Administrative Assistant, who will also perform duties of the Assistant Facilities Security Officer (AFSO). The qualified candidate will have 4-5 years of previous experience as an Administrative Assistant or related experience. The Administrative Assistant will be the initial point of contact for all visitors and guests that visits the office and will provide day-to-day support to technical and professional staff of the office. The successful candidate will be responsible for front desk operations and meeting coordination, he or she will also assist with various accounting tasks, and office maintenance. The candidate will also be required to complete a comprehensive online Security Officer training course within 12 months of being assigned as the AFSO. This is an on-site position and does not allow for hybrid or remote work.
Applicants must have an active DoD Security clearance
The duties of the Administrative Assistant includes, but are not limited to:
- Answering incoming telephone calls.
- Greeting and checking in all visitors.
- Meeting preparation and support.
- Ordering and managing office supplies.
- Day-to-day operations (coffee preparation, kitchen maintenance, etc.).
- Common area maintenance.
- Conference room scheduling.
- Event planning.
- Data entry.
- General clerical duties (copy, fax, scan, binding documents, etc.).
- Assist with monthly accounting reports and logs.
- Assist with tracking and processing company credit card purchases.
The duties of the AFSO include, but are not limited to:
- Assist with security in-processing for all new employees including orientation for company policies and clearance application submissions for uncleared employees.
- Submit visit access requests (VARs) using the Joint Personnel Adjudication System (JPAS).
- Assist with performing status checks on current investigations, determining upcoming reinvestigations dates, and relaying the information back to the employee.
- Assisting the Facilities Security Officer (FSO) with conducting security self-inspections, physical security surveys, and threat/vulnerability assessments.
- Assist the FSO with conducting and presenting security presentations to staff members.
Requirements:
- An active DoD Security clearance.
- High school diploma or equivalent and 4-5 years of office management experience or related office management experience.
- Proficiency with Microsoft Office Suite software.
- Attention to detail and finer elements of office operations & coordination.
- Ability to work independently and follow through on assignments.
- Ability to multi-task and work successfully in a fast-paced environment.
- Ability to communicate in a professional manner.
Desired Qualifications:
- Bachelor’s degree preferred.
- Working knowledge of SharePoint, CostPoint, and/or Deltek.
- Budgeting experience.
- Existing DoD security clearance.
- Previous working knowledge of JPAS and SF86s.
