Job Description

Required Education:
• High School Diploma or Equivalent
Required Skills, Experience, and Knowledge:
• 2 years’ experience working directly for a person in an executive position as an administrative assistant
• Work individually and as part of a team
• Track and manage reporting projects without daily oversight
• Excellent verbal communication, writing, and interpersonal skills
• Strong project management skills, including experience managing multiple time-sensitive, complex projects simultaneously
• Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment
• Proficiency with Microsoft 365, including working experience with Excel, WebEx, MS Teams and Zoom
• Manage various tasks as assigned
• Experience managing travel and other business expense reimbursement for senior staff including working in the Statewide Financial System (SFS)
Administrative Assistant Job Responsibilities:
• Must provide high-level administrative support by conducting research, preparing statistical reports
• Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, schedule meetings and organization/reconciliation of travel for Executives
• Knowledge of office administration and management; proper grammar, punctuation, and spelling business communications and ability to take notes is necessary
• Maintain office supply inventory
• Manage confidentiality and proper filing of sensitive matters
• Answer and manage phone calls, screen and direct calls to the appropriate staff
• Perform special assignments, studies and routine administrative functions as specifically directed
• Screen incoming correspondence, refer to appropriate staff, and follow up to assure timely response
• Perform related duties as required
