Title: Administrative Assistant 2
Location: 9 Davis Drive, USRE, Research Triangle Park, NC 27709
Duration: 6 Months Contract
Pay Rate: $25.00

Duties:
Calendar management, efficiently scheduling meetings with multiple high-level participants across different time zones
International and domestic travel coordination, including associated formalities such as obtaining visas, invitation letters, creating itineraries, etc.
Organizing and processing receipts and submitting monthly expense reports for functional leaders
Coordinating on-site conference room rentals and catering requests for large meetings and workshops
Working with the Administrative Assistant team to support site activities and initiatives
Creating and managing large-scale purchase orders via Ariba and SAP, staying on top of follow-up, documentation, and invoice processing
Assisting with planning corporate events, including dinners, celebrations, site events, offsite workshops, etc. This will include researching and coordinating with vendors/restaurants, presenting options to the team, and taking event budgets into consideration.
Fulfilling ad-hoc requests for colleagues and leaders on site when needed

Skills:
Prior experience as an Administrative Assistant, Executive Assistant, Personal Assistant, Secretary, Bookkeeper, or similar role
A willingness to anticipate needs and proactively jump in to lend a helping hand
Ability and willingness to learn new skills and programs that are unfamiliar to you
Proficiency in MS Office Suite, especially Outlook
Excellent written, oral and interpersonal skills and the ability to communicate professionally, proactively and concisely
Prior experience using Concur for travel management and expense reporting
Ability to create large-scale purchase orders on Ariba with keen detail and timeliness, then effectively manage complex follow-up and invoice processing using SAP. Prior experience with Ariba and SAP would be a huge plus.
Ability to research, organize, and present information clearly and concisely
Using the utmost discretion and confidentiality when handling sensitive information

Education:
High school degree is required. College degree is a plus, but not required.
Proficiency in MS Office Suite, especially Outlook
