We are seeking an Administrative Assistant to join the Administrative Services Team. Located in Lemont, Illinois, the Franciscan Ministries Home Office provides support to our owned and managed senior living communities. We are a non-profit organization, and we focus all our resources on supporting and improving our services and programs.
Position Summary:
The Administrative Assistant performs a wide range of administrative tasks in support of the Franciscan Ministries Home Office. The AA must exercise good judgment in a variety of situations and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Administrative Assistant -Responsibilities:
- Provide administrative support to VP/AVP’s and Directors in the Home Office.
- Manage busy & complex calendars (scheduling and coordination of in-person, Zoom, and Teams meetings, etc.) and manage logistics for meetings including catering arrangements, and other details as needed.
- Prepare agendas, presentations, reports, create and compile meeting materialsor other documents as needed.
- Assist with projects, data research, and management of databases as required.
- Provides general “front desk” support and being “the face” of Franciscan Ministries to ensure a personal, professional, and friendly experience for each guest, whether in person or on the phone.
- Orders and maintains office supply and inventory per scheduled time frames.
- Provide back-up assistance as needed.
Executive Assistant - Requirements:
- 2+ years’ work experience in a professional office environment to include solid knowledge of standard business practices/methods.
- Professional interpersonal, verbal, and written communication skills to interact effectively with internal and external customers.
- Ensures all interactions are conducted in support of the Francisca Mission and Values.
- Proficient in Microsoft Office.
- Excellent time management, organization, and prioritization skills.
