About the Job
An Administrative Analyst is needed to perform executive secretariat and administrative services in support of OPE. Support will be conducted with substantive input from the OPE Assistant Secretary, Principal and Deputy Assistant Secretaries, Executive and Senior Directors, Chief of Staff, Principal and Deputy Chiefs of Staff, and relevant OPE subject matter experts. A security clearance other than suitability will not be needed to provide support to the HSAC or other advisory councils.
Essential Functions:
- perform duties that require knowledge of an office routine and understanding of the organization's programs and procedures related to the administrative OPE work environment.
- support the organization principals in preparation for stakeholder engagements in Washington, DC or throughout the United States. Travel may be required in support of these engagements.
- provide administrative support, including but not limited to assistance to principals for management of calendars, contacts, and meeting logistics;
- arrangement of travel; copying of documents;
- preparation of official correspondence, presentations, spreadsheets, and web content; production of meetings minutes;
- supporting research, identification development and management of stakeholder contact lists;
- conducting research to support OPE programs and priorities; and consolidation and printing of daily briefing materials.
- keep records of administrative processes or operating procedures in an easily searchable format.
- tracking, reporting, and logistical support for OPE workflow and processes using various Microsoft Office products and Internet Quorum, Drupal
- assisting with planning, initiating and tracking task assignments and associated data to optimize workflow management and prevent work stoppage. T
- use the Intranet Quorum, and other designated Department correspondence management systems and platforms in addition to a dedicated email account to monitor, track, and process all official incoming and outgoing correspondence and executive secretariat actions.
- monitor the inbox while providing daily updates to leadership on the status of all incoming mail.
- provide record and file management support and shall keep records of official correspondence and support efforts to organize documents in an easily searchable format.
Education/Experience:
- BA/BS in related field
- Minimum of 2 years in specialty (3 years desired)
- Relevant experience in positions that require data processing, business performance analysis, variance analysis in office environment
Qualification/Skills
- Ability to obtain a NACI or Public Trust Clearance
- Excellent computer skills (Microsoft Suite, Internet Quorum)
- Superior analytical and problem solving skills, demonstrating the ability to understand key performance drivers, interpretation of data , implications of analysis and the ability to execute against findings
- Ability to obtain, analyze and translate complicated data into actionable insights
- Experience working with large-scale database tools (i.e. SQL, MS Access etc.)
- Excellent verbal and written communications skills
- Strong attention to detail, self-starter, and the ability to manage multiple projects simultaneously
- High aptitude for learning new skills and the willingness to tackle new challenges
