Administrative and Advancement Assistant - Office of the President and Office of Institutional Advancement - Coker University

The Administrative and Advancement Assistant is responsible for providing a wide range of clerical duties, office administrative duties, project coordination, office maintenance, and basic accounting support to Coker University's Office of Institutional Advancement (IA) and President's Office (PO). This position reports directly to the Vice President of IA and the Director of the PO.

PRIMARY DUTIES & RESPONSIBILITIES

• Act as primary point of contact for general inquiries via email, telephone, and social media and logging of inquiries (IA and PO).
• Preparation of initial response to inquiry and assigning to appropriate team members
• Preparation and distribution of daily, weekly and monthly reporting (IA).
• Coordinate interoffice mail distribution schedule and materials (IA and PO).
• Responsible for inventory management and ordering of materials, supplies, catering, and other services (IA and PO).
• Perform general clerical duties including supporting mass mailings/emails, and the timely recognition of gifts (IA and PO).
• Develop working knowledge of the donor and alumni database to manage donor information and run donor reports (IA and PO).
• Support in assigned project-based work which may include drafting and modifying a variety of documents and/or correspondence as well as performing basic accounting functions (e.g. event budgets) (IA and PO).
• Be a liaison for large University events such as graduation (IA and PO).
• Occasional evenings and weekends with some travel requiredSupport as required (IA and PO).
• Other duties as assigned and/or required

QUALIFICATIONS

• 1-3 years working experience in a similar administrative capacity where confidentiality, punctuality, and a detailed approach to tasks was expected
• Exposure to, or experience in, a sales and/or event planning environment
• Experience performing basic accounting functions
• Self-starter, flexible, and able to work independently
• Ability to multi-task and change priorities constantly as needed in a fast-paced environment
• Excellent verbal and written communication skills and professional telephone, email, and social media etiquette
• An ability to adapt technologies to benefit office efficiency
• Superior customer service skills in addition to professional personal presentation required
