Essential Duties
Essential Duties
- Answers the telephone, directs calls, and receives visitors for the City Manager’s office, Communications Department, Human Resources, and the City Secretary’s office and/or takes messages when appropriate.
- Scan documents pertaining to the responsibilities of the City Secretary’s office for records retention.
- Assists in coordinating with department records custodians assuring records are maintained in accordance with the Texas State Library and Archives Commission retention schedule.
- Maintains accurate records of city documents, including archiving and destruction; organization and maintenance of records storage room.
- Assists in the reporting, monitoring, and maintaining of records of all city vehicles, city facilities, and city properties to ensure proper insurance coverage as well as obtaining proper titles and licensing.
- Coordinates with the Street Department Clerk to obtain proper titles and registration of all city vehicles.
- Conducts annual insurance rate for city property, vehicles, and equipment to ensure proper coverage.
- Coordinates, schedules, and prepares proclamations when requested.
- Maintains and orders clerical and miscellaneous supplies for the City Manager’s office, City Secretary’s office, Human Resources, and the Communication Department and keeps supply room organized.
- Assists with processing of Public Information Requests.
- Sets up Council Chambers and Executive Conference Room in preparation for city council meetings to include maintaining supply of drinks and snacks for the meetings. Ordering and delivering food for meetings when necessary.
- Sorts mail daily that is addressed to various City Hall departments.
- Maintains and monitors City contracts, lease agreements, and professional services agreements, confirming terms of agreements and contracts, and notifying department heads when agreements will soon be expiring.
- Serves as essential emergency personnel when required.
- Regular and prompt attendance is an essential function of the position.
- Performs such other related duties as may be assigned.
ACCEPTABLE EXPERIENCE AND TRAINING
High school graduation, or its equivalent, plus at least one year of related experience or any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
CERTIFICATES AND LICENSES REQUIRED
Must be bondable and possess a valid Texas Driver’s license.
