Appreciation Homes is seeking an o utgoing and energetic Administration Manager with a positive attitude to organize and coordinate various administration duties, office procedures, and facilities management. The role also requires some HR administrative support as well as ad-hoc requests & projects as directed by either the company CEO and/or COO. Your role is to maintain a pleasant, employee-friendly workspace and facilitate administrative processes to support high levels of organizational effectiveness. Ultimately, the Administration Manager should ensure the office runs smoothly and help improve company procedures and high-quality day-to-day operations.
This position will report directly to the COO and work out of offices in Dallas, Texas (Preston Center).
HOW YOU WILL FULFILL YOUR POTENTIAL
Support (and enforce) compliance of company policies & procedures
Timely execution of ad-hoc, special projects as directed by the CEO and/or COO
Liaise with facility/property management, building security services, parking, and mail/shipping
Ensure the smooth and adequate flow of information within the company to facilitate other business operations
Office vendor management including invoice review & accuracy, and timely payment approvals
Keep abreast with all organizational changes and business developments
HR Support: recruitment & training of personnel, general HR inquiries, onboarding & offboarding activities
Develop and maintain office operations and procedures
Address employees’ queries regarding office management issues (e.g., general office inquiries)
Maintain and purchase office supplies, equipment, and special purchases
Maintain and purchase food and drinks for the employee kitchen
Be responsible for the office condition and arranging necessary repairs (incl. office/IT equipment)
Schedule C-level meetings and appointments (as needed)
Setup & support company and visitor meetings; including visitor reception support
Plan in-house or off-site activities, event planning, and conferences
Record employee PTO and travel schedules
Facilitate the electronic signing of legal documents, and file archiving
SKILLS & EXPERIENCE WE’RE LOOKING FOR
Bachelor’s degree preferred
· 2 -3 Years of Office Management experience
Proficiency in MS Office (MS PowerPoint, Teams, Word, and Outlook, in particular)
Excellent time management skills and ability to multi-task and prioritize work
Project management a plus
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational and planning skills in a fast-paced environment
A creative mind with an ability to suggest improvements
Dynamic working environment, comfortable with change
