Position Announcement
Under the direction of the Department Chair, the Admin Support III position performs a variety of associated administrative, scheduling, fiscal, staff support, and planning activities, some of which require specialized knowledge and skills, such as budget monitoring assistance, coordination with facilities and academic scheduling, inventory management, record-keeping, database management, specialized accreditation activities as they relate to Public Health program administration and other related tasks as assigned. Coordinates and schedules meetings, program functions, and special events as appropriate; oversees the smooth operation of the front office; provides administrative support to the Public Health Department Chair. Supports and embodies exceptional care, exceptional accountability, and exceptional results, as well as UVU's Mission. Performs other job duties as assigned.
Summary of Responsibilities
• Performs advanced and confidential administrative support duties, including composing routine correspondence, meeting minutes, coordination with academic scheduling, and financial/budget reports. Complies with university and departmental policies and procedures as well as accreditation standards.
• Coordinates program financial activities, including timecards, ePAFs, eSAFs, requisitions, purchase orders, travel, index tracking and reconciliation, and maintenance of records.
• Informs students, faculty, staff, and the public of program and university services available. Responds to incoming calls and walk-in traffic; provides administrative support to the PH Department Chair.
• Performs other job-related duties as assigned.
Minimum Qualifications
Graduation from an accredited institution with a bachelor's degree related to the Summary of Duties, or any combination of education and/or experience totaling four years.
Preferred Qualifications:
Administrative experience in an academic setting.
Knowledge, Skill, and Abilities
Knowledge
• Knowledge of computer software applications including Microsoft Office, databases (such as Banner) and social media.
• Knowledge of best practices in events, correspondence, and meetings with appropriate matters of etiquette in business settings.
• Knowledge of university policy and procedures.
• Knowledge of budget tracking, spending, and reconciling.
Skills
• Effective interpersonal, problem-solving, decision-making, and public relations skills.
• Skill in communication (verbally and in writing).
• Skill in office methods, techniques, practices, and procedures.
• Skills in the preparation and interpretation of reports.
• Exceptional customer service skills.
• Skills in maintaining confidentiality.
Abilities
• Ability to perform a variety of administrative duties independently.
• Ability to work with diverse personalities in a dynamic environment.
• Ability to plan and anticipate potential changes and act accordingly.
